OFFICE OPERATIONS COORDINATOR

 

Our data-driven law firm is seeking an office operations coordinator experienced in workflow automation platforms to join our team at our Cornelius, NC office. Essential functions of this position:

  • Providing a high level of administrative, organizational, and technological support
  • Designing, managing, and troubleshooting automated workflows using platforms such as Zapier
  • Project management (monitoring all open projects, providing weekly reports, assigning tasks, etc.)
  • Managing the law firm practice management system (Clio)
  • Assisting with trust account reconciliation
  • Managing and updating the firm handbook
  • Assisting with invoicing and firm financial management
  • Documenting law firm policies, procedures, and systems
  • Managing multiple email inboxes and calendars
  • Sending thank-you notes to referral sources
  • Manage stock of office supplies, snacks, coffee, etc.
  • Planning and coordinating law firm events
  • Maintaining relationships with building management and vendors
  • Managing the law firm referral list and nurturing relationships with referral sources
Preference will be given to applicants with proficiency using the following platforms:
  • macOS
  • MS Office (particularly advanced MS Word functionality)
  • Google Workspace (formerly G-Suite, i.e. Forms, Sheets, Docs, Drive, etc.)
  • Clio
  • Zapier
  • Form Publisher
  • Mailparser
  • TextExpander
